                                 Personnel Policies and Procedures  
                                  Employee Grievances

 

Often grievances are generated because of misunderstandings and may be settled by an informal discussion between
the individuals involved.  Under no circumstances are employees to be discouraged from filing grievances. 
However, every attempt should be made to resolve matters at the informal level. 

The following steps shall be used for the grievance procedure.  Within five (5) working days after the alleged
incident occurs, the employee shall request a meeting with the Program Manager to discuss the matter.  During
the meeting, the employee shall provide as much information regarding the incident(s) including dates,
times, individuals, and policies and/or procedures involved.  The employee shall also discuss what resolution is
being sought. 

The Program Manager shall advise the employee that the matter will be reviewed and a determination will be
presented within seven (7) working days. 

After the meeting to review the determination, if the grievance cannot be reconciled, the employee shall be requested
to submit a written grievance to the Executive Director within seven (7) working days.  The Executive Director shall
have seven (7) working days to address the issues presented in the grievance and prepare a written response. 
The aggrieved employee and the Program Manager will be requested to meet within three (3) working days after
the response is prepared.  If the reconciliation attempt is not successful, the employee shall be advised that a meeting
will be scheduled between the employee, the Program Manager, and the Executive Director. 

If the aggrieved employee feels the issue has not been resolved at this level, the employee may submit their grievance
to the Personnel Chair of the NUIHC Board of Directors.  The Personnel Chair shall have fourteen (14) days to
address the grievance presented and prepare a written response. 

No information regarding complaint/grievances will be placed in the employee’s personnel file.  A separate file will
be maintained containing all information related to the grievance.  Any employee filing a grievance against NUIHC
will be treated with courtesy and respect.  There will not be any retaliation at any level within the organization.
